In your opinion, what are the characteristics of an effective logistics process?
Communication should be in writing: Written communication minimizes the risk of misinterpretation. Business communication today is primarily written. The ability to send emails and messages across multiple platforms to multiple recipients across offices, countries, and continents means that all professionals must develop effective written communication skills and encourage their staff to do the same.
It should follow the 3 C's: Clear, concise, and consistent messages are the hallmarks of effective communication. A clear message eliminates any ambiguity in what needs to be communicated. A concise message ensures that all important information is included in a short message. A lot of logistics work is time-bound, so identifying the right team or person on an email is crucial to preventing information from getting lost in the organizational hierarchy.
It conveys urgency appropriately: Many executives mark all their emails as "urgent" to ensure they get immediate attention. A great advantage of the practice is that it ensures that important and critical communication doesn't go unnoticed. Prioritizing becomes difficult when all communication is urgent.
The communication should provide clear timelines: The delivery timeframe should be specified for a response or assignment. Receivers will be able to gather information, plan, and Take action based on the information provided and avoid unnecessary delays.
Transparency and reliability are essential: Interdepartmental conflicts, organizational politics, and cutthroat competition encourage employees to hide information from their counterparts. As a result, chaos, confusion, and mistrust are created, which interferes with the execution of tasks.
The logistics industry is fast-paced, and information exchange must be just as fast: Freight rates, loading lists, customer orders, etc., must be verified and relayed as soon as possible to the next person.
Integration of technology: In the digital age, getting the written communication right isn't enough to ensure the successful implementation of business plans. The technologies, backend systems, and processes used by different departments must also be integrated for information to flow seamlessly from one department to another.
